District governors-elect and partners

Register by Friday, 13 October 2023.

Participants must register before booking travel. The deadline for booking travel is Friday, 10 November 2023. Please see the travel section below for more details and restrictions.

Partners must be in Rotary's database before they register. Please reference the Personal Information Sharing/Privacy notice as set forth in the DGE registration form and contact privacy@rotary.org with any questions. After you have reviewed the notice, you may contact data@rotary.org to update your records.

Family members of governors-elect

District governors-elect can register their children to attend general sessions and banquets, at the family's expense. Children 18 and under must always be accompanied by an adult caretaker who is not attending as an official program participant. Participants of the partner program may not serve as caretakers of minor children during the assembly.

Observers

You must be a current or past district governor to attend the assembly as an observer. All registrations must be submitted by Friday, 13 October, for directors-nominee, past RI presidents, past TRF chairs, regional magazine editors, and RIBI. Observers can register online through 15 December or on-site beginning 7 January 2024.

COVID-19 Requirements

Participants at the 2024 International Assembly will NOT be required to provide proof of vaccination or a negative test result to participate in the event. Participants are encouraged to evaluate their personal health status and take appropriate precautions to protect themselves from illness during the event. Requirements for participation are subject to change, based on updates from local, regional, and national public health authorities. Please check back regularly and check your email for any updates.

Accommodations for participants with disabilities

Rotary International makes every attempt to design our events to be inclusive and accessible for all participants, including individuals with disabilities. A few examples of reasonable accommodations provided by Rotary include captioning in English for General Sessions, reserved accessible seating for people with disabilities, and scooter and wheelchair access (upon request). To request a reasonable accommodation, please indicate your needs on the registration form and Rotary staff will follow up with you.

Program

Rotary's annual learning event gives incoming district governors the chance to share ideas for strengthening clubs and improving communities with Rotary leaders from around the world.

Keynote speakers and informative presentations will inspire and prepare you to lead your district successfully. Breakout sessions will introduce new ways of creating positive change.

Governor-elect partner program

Your partner can play an important role during your year as a district governor. To prepare them for what lies ahead, we've planned a full program. Your partner will join you for general sessions, meals, social events, and the Cultural Exchange event, and will also participate in networking events and inspiring and informative presentations and discussions designed specifically for partners.

Housing

Rotary will secure hotel accommodations at the Rosen Shingle Creek for all funded attendees, based on the approved length of stay. Please do not book your own room.

Travel & expenses

Travel

You may book your travel once you have registered and received the welcome invitation email with your Trip ID from RI Travel Services. This email will provide instructions on how to complete your travel arrangements.

All travel must be booked by Friday, 10 November. Please note the following as it pertains to International Assembly travel itineraries:

  • Travel for governor-elects (and partners, if applicable) will be purchased though Travel Services-designated RITS agencies at the lowest logical fare in economy class. Any fees for upgrading class of service are the responsibility of the traveler.
  • If an official participant (and partner, if applicable) fails to purchase their travel with Travel Services-designated RITS agencies by Friday, 10 November 2023, RI will fund 50 percent of the lowest logical fare economy class ticket and you will be personally responsible for the remaining fare, taxes, fees, and any additional cost for a higher class of service. Payment must be made at time of ticketing.
  • Any personal stay extensions will be the responsibility of the participant. RI housing services will not support personal stay extensions associated with International Assembly hotel reservations.
  • Travel purchased locally without approval from Travel Services will not be reimbursed.

All airline tickets must be issued by Wednesday, 22 November 2023. Once you have booked your travel, you will receive confirmation and an electronic ticket from your RITS® agent.

Ground Transportation

Rotary will provide shuttle transportation to and from Orlando International Airport (MCO) for participants during major arrival and departure. Accessible transportation will be available for attendees traveling with mobility devices. Detailed information regarding this service is available in the participant booklet.

Expenses

Rotary reimburses Rotary Funded participants for all reasonable and necessary expenses related to the International Assembly. Reimbursements are not made at the assembly. Find information about reimbursable expenses and the reimbursement procedure in the Participant book.

Dress Code

  • Working part of the day, including general sessions and group discussions - business casual attire (according to the customs of your culture)
  • Sunday, 7 January - Welcome reception - casual
  • Tuesday, 9 January – Dinner and Dance Party – suit and tie, cocktail dress, or formal national dress.
  • Wednesday, 10 January – Night of Culture / Foods of the World Reception and Dinner – national attire encouraged. For those not wearing national attire, the dress code is business casual.
  • Thursday, 11 January – Closing Banquet - black tie optional, suit and tie, cocktail dress, or formal national dress.
